Applications open for IAF Finance & Admin Officer

The IAF is seeking a new member to play a crucial part in their busy team. The Finance & Admin Officer will have a role to play in all areas of the functioning of the Irish Architecture Foundation, ensuring Financial Procedures are followed, the budgets are balanced and income and expenditure is up to date.

Finance & Admin Officer

Salary: €28,000 pro rata

Part-time 2 days or 4 mornings a week (15 hours)

One year contract: 7 August 2017 – 8 August 2018.

Finance & Admin Officer will have a role to play in all areas of the functioning of the Foundation, ensuring Financial Procedures are followed, the budgets are balanced and income and expenditure is up to date. The Finance & Admin Officer will report to the General Manager and Executive Director of the Foundation. It is essential that this candidate is a team member and will become familiar with the nuances of the organisation and the cultural sector.

General duties include

 

Financial & Management Accounting

  • Financial administration including maintaining income and expenditure records, invoicing, tax clearance certificate, updating budgets, cash flow, financial projections, requesting financial draw-downs from supporting funding agencies, preparing and issuing payments, liaising with Companies Registrations Office, Revenue Commissioners, Charity Regulatory Authority and financial reporting to the Board and Finance and Admin committee.
  • Liaising with the Auditor and accountant.
  • Data-entry including up-dating such administrative databases, using financial package SERF is required.
  • Other duties necessary to meet with the auditors, accountants, board or Sub-Committee in compliance with accountancy and legislative requirement.

Administration

  • Coordinating venue hires, booking and invoicing, liaising on AV, access to venue, being the direct contact on hires and all queries related to it.
  • Assist General Manager in preparing proposals, power point and funding applications, to be presented to the CEO.
  • Supporting board and sub committee activities including minute taking and document circulation (via e-mail).
  • Record management including maintenance of all current and semi-current office files, and proper disposition of non-current material.
  • Provision of secretarial support as required.
  • Assisting in the organisation of specific IAF events (launches, lectures etc).
  • Other roles that may arise to assist the team in delivering the IAF’s programme.

Expertise

– Over 1 year experience in Finance & Admin ideally for similar organisations

– Qualification in any of the following: finance, book keeping, administration is required.

– A strict attention to detail and procedures.

– An excellent knowledge of financial systems such as Surf or similar

– Proficient in Microsoft Office, in particular Excel (to ECDL level or equivalent).
